Information according to Art. 13 GDPR on data processing for FH JOANNEUM events

In the following, FH JOANNEUM Gesellschaft mbH, Alte Poststrasse 149, 8020 Graz, in its capacity as the data controller, provides you with all the information you need to safeguard your data protection rights according to Art. 13 of the General Data Protection Regulation (GDPR).

1. Registration for events

1.1 Purpose of data processing

The data processing serves the purpose of registering for the event.

1.2 Data categories

FH JOANNEUM electronically processes the following personal data that you provide to us during your registration for the event: first name, last name, academic degree (if applicable), contact details, contact purpose and other details required for registration.

1.3 Legal basis

This processing is based on your data protection consent given in the course of this registration. There is no legal or contractual obligation to provide these data, but they are required for registration. If you fail to provide the required information your registration cannot be taken into account.

1.4 Withdrawal of consent

The consent given by providing the data can be withdrawn at any time by sending an email to info@fh-joanneum.at, if possible indicating the event. This will not, however, affect the lawfulness of processing based on consent before its withdrawal. If you withdraw your consent, all data provided by you for pre-registration will be deleted. Further processing of your registration will then no longer be possible.

1.5 Duration of processing

The data provided will be deleted one month after the event at the latest.

1.6 Data recipients

Your data will not be shared with third parties.

2. Online events

2.1. Purpose of data processing

Data processing and transmission to Microsoft serves the purpose of carrying out the event using MS Teams in order to contain the spread of the virus and to protect people, especially their health. Recordings of the event will be published for the purpose of providing information to the public and to people who are interested in the event but are unable to attend. You will be notified in advance that the event will be recorded. Image documents, e.g. screenshots, will be made available to the public for the purpose of promoting FH JOANNEUM events and its publicly funded activities. You will be notified in advance when a screenshot is taken.

2.2. Data categories

FH JOANNEUM collects and processes any details you provide in addition to the following data categories, where required:

  • Email address, name, IP address, telephone number for access via phone, chat messages.
  • If the event is recorded: all content, including video and/or audio.
  • If screenshots are taken: the names of the persons visible in the screenshots.
2.3. Legal basis

We process your data on the following basis:

  • Art. 6 (1) (f) GDPR, for the purposes of our legitimate interests to carry out events, in particular to restrict personal contacts during the current epidemic (coronavirus, COVID-19) to the widest possible extent in accordance with government recommendations;
  • Art. 6 (1) (a) GDPR, based on your consent to the recording of the event, given by activating your camera and your microphone during the event;
  • Art. 6 (1) (a) GDPR, based on your consent to the taking of screenshots, given by activating your camera for the specific screenshot.
2.4. Right to withdraw consent

Events are recorded and screenshots taken based on your express consent, given by activating your camera and your microphone. You may at any time withdraw this consent for the future by deactivating your camera and your microphone during the recording and subsequently by email to info@fh-joanneum.at without giving reasons.

2.5. Right to object

If your data are processed based on our legitimate interests according to Art. 6 (1) (f) of the General Data Protection Regulation (GDPR) you have the right to object according to Art. 21 (1) GDPR. This means that you may object to the processing of your data stating a reason. The processing will only be stopped, however, if the objection is justified by special reasons.

2.6. Duration of processing

FH JOANNUEM processes your contact details (email address, telephone number) and your name for the event in question. The retention period for the recordings and screenshots depends on the specific event. For more information please refer to the contact person for the event.

2.7. Data recipients

The data will be transmitted to the following recipients to the necessary extent:

  • Microsoft

The Microsoft Corporation is based in the USA. Consequently, it cannot be ruled out completely that personal data are also processed in a third country which does not have an adequacy decision or offer appropriate safeguards. FH JOANNEUM has concluded a data processing agreement and standard contractual clauses with Microsoft in accordance with Art. 28 and Art. 46 GDPR which allow personal data to be processed only on servers located within the EU. Data transfers to providers in the USA are permitted according to Art. 49 (1) (b) and (c) GDPR, if these are necessary for the performance of contractual obligations or implementation of pre-contractual measures or if the data subject has given their explicit consent according to Art 49 (1) (a) GDPR. 3. Photo and video recordings at FH JOANNEUM events

3.1. Purpose of data processing

FH JOANNEUM is one of Austria's leading universities of applied sciences. FH JOANNEUM's public relations work is designed to provide transparent information about its publicly funded activities.

3.2. Data categories

Personal photos and videos electronically recorded during FH JOANNEUM events serve this purpose of reporting and documentation.

3.3. Legal basis

The processing of photo and video materials is carried out for the purposes of the legitimate interests (acc. to Art. 6 (1) (f) GDPR) pursued by FH JOANNEUM to document and report on its activities in a transparent manner. There is no legal or contractual obligation for this data processing and there will be no consequences if the data are not provided.

FH JOANNEUM is committed to ensuring that its interest in producing photos and videos does not unduly infringe the rights and freedoms of natural persons. Your wish not to be photographed or filmed will be respected, especially in the case of individual recordings.

3.4. Right to object

You are entitled to object to this data processing for personal reasons. You can exercise this right by sending your objection to info@fh-joanneum.at, if possible indicating the event.

3.5. Duration of processing

The retention period is restricted to its purpose. Photo and video material will, as a principle, be retained for a period of seven years and will then be deleted. Erasure in print media that have already been published is not possible. Images and videos on websites or social media platforms will be deleted to the extent technically possible

3.6. Data recipients

After careful selection, the image and video material will be shared with the following categories of recipients or published in the following media: FH JOANNEUM website, FH JOANNEUM print media, data processors such as hoster, agency, printing house of FH JOANNEUM, social media companies such as Facebook, Instagram, YouTube, LinkedIn, Xing, Vimeo, Snapchat, Twitter as well as local and national media.

4. Streaming of the event

4.1. Purpose of data processing

FH JOANNEUM is one of Austria's leading universities of applied sciences. FH JOANNEUM's public relations work is designed to provide transparent information about its publicly funded activities. The streaming of events serves the purpose of reaching people who are unable to attend in person and to contain the spread of the virus during the Covid-19 pandemic.

4.2. Data categories

Only the stage area will be filmed and the associated video and audio recordings processed during the live stream of the event.

4.3. Legal basis

The processing of the video materials is carried out for the purposes of the legitimate interests (acc. to Art. 6 (1) (f) GDPR) pursued by FH JOANNEUM to reach a larger audience via live streams and to hold events despite the Covid-19 pandemic. There is no legal or contractual obligation for this data processing and there will be no consequences if the data are not provided.

4.4. Right to object

You are entitled to object to this data processing for personal reasons. You can exercise this right by sending your objection to info@fh-joanneum.at, if possible indicating the event.

4.5. Duration of processing

The data will be streamed only for the duration of the live stream.

4.6. Data recipients

The live stream is made available via common streaming platforms, including but not limited to MS Teams.

5. Data subject rights

You also have the

  • right of access to the personal data concerned,
  • right to rectification or erasure or restriction of processing,
  • right to data portability,

which can be asserted against FH JOANNEUM Gesellschaft mbH, Alte Poststrasse 149, 8020 Graz, datenschutz@fh-joanneum.at, as the data controller or its Data Protection Officer at dsb@fh-joanneum.at.
